Ministry of Economic Transformation addresses concerns regarding storage of files

The Ministry of Economic Transformation (MET) hereby addresses the valid concerns expressed by the public regarding an incident that was publicized on Thursday evening.

The Ministry, as with any other ministry and department of government, practices the manual storage of files. Files are opened and stored daily. After an extensive amount of time, they accumulate, and we must remove them from the office and store them in a container. It is important to note that we cannot dispose or destroy of any file unless it has surpassed the amount of time (depending on the international financial institution, this could be from 5 to 7 years) and it has been verified by the appropriate auditors.

For the purpose of full transparency, it is important to clarify the following points:

  1. The files that were being disposed of on Thursday have been physically verified by auditors and date back to 2010-2012. They have no relevance to any ongoing project or initiative.
  2. The Resilient Rural Belize (RRB) project vehicle recorded has nothing to do with the activity that was documented yesterday. Each project implemented at the Ministry has a project management unit equipped with their own project vehicles. RRB is the only project that has vehicles with a trailer. RRB has been incredibly gracious to assist the Ministry with their vehicles and trailers as requested. Yesterday was one of those occasions that the Ministry borrowed the vehicle and trailer for their own purposes, unrelated to the work of RRB. To reiterate, yesterday’s incident has nothing to do with RRB and the files that were disposed of are MET files and have no affiliation to RRB.
  3. The disposal of files has been and will continue to be done – there is simply not enough space to store all past and current files. It is a common practice. However, the manner of disposal of the particular files in question is a valid concern. There was no instruction given by the Minister of State nor the Chief Executive Officer authorizing the method or location of disposal. There are procedural methods that were clearly not followed, and an internal review is underway, as per the Public Service Regulations, to determine the necessary actions to be taken.
  4. The Ministry has authorized the cleaning of the area where the files were burned.

The Ministry of Economic Transformation assures the public that an event like this will not happen again, and it remains committed to acting in accordance with the sustainable and legitimate practices of the public service.
