By Aaron Humes: The portfolio of Economic Transformation under the Ministry of Finance (MET) has publicly responded to concerns raised by citizens regarding an incident involving the disposal of government files, which was heavily publicized on Thursday evening.
In a statement released on Friday, the Ministry emphasized its commitment to transparency and responsible record management. They clarified that MET, like other government departments, maintains manual storage of files, which accumulate over time. Files are retained for specific durations, typically between five to seven years, depending on guidelines from international financial institutions, after which they are subjected to an auditing process before disposal.
According to the Ministry, the files disposed of on Thursday, dating back to 2010-2012, were verified by auditors as having no relevance to any ongoing projects or initiatives. Further, the vehicle associated with the Resilient Rural Belize (RRB) project that was photographed during the incident was borrowed for unrelated Ministry purposes. The RRB, which has been supportive in providing its vehicles and trailers, remains entirely separate from the disposal activity.
However, officials admitted that while file disposal is a common practice due to space constraints, the methods used in this instance raised valid concerns. It was noted that neither the Minister of State nor the Chief Executive Officer authorized the specific method or location of disposal. An internal review is currently underway to address these procedural failures following Public Service Regulations. The Ministry has since authorized the cleanup of the area where the files were burned.
The MET assured the public that steps are being taken to prevent such an occurrence from happening in the future.
